The ProActive Conference provides those affected by conflict with an opportunity to clarify what has been happening, understand the impact of behaviours, and agree on what needs to be done differently. The process consists of three distinct phases:
Phase 1 – Preparation Phase
During this initial phase, ProActive reviews relevant documents and interviews each person affected by the conflict. These interviews explore what has happened from each person's perspective, the personal and professional impact of events, and assist individuals in reflecting on their contributions to the conflict. By the end of this phase, ProActive will have determined which incidents need to be discussed and who needs to participate in the group conversation.
Phase 2 – ProActive Conference Phase
In Phase 2, the individuals directly affected by the conflict are brought together for a structured, facilitated dialogue. The meeting is designed to address what happened, how people have been affected personally and professionally, and what needs to change for the conflict to transform into cooperation. The outcome is a written ProActive Conference Agreement, in which participants accept personal responsibility and accountability for implementation within specific time frames.
Phase 3 – Follow-up Phase
This phase focuses on implementing the ProActive Conference Agreement to successfully transform conflict into cooperation. Understanding that changing habits requires support, ProActive provides consistent follow-up. This includes speaking with the client contact person about the agreement, and following up with participants to remind them of their responsibilities. A brief Recall Session is then held 6 to 8 weeks after the conference to formally review the Agreement and acknowledge the hard work done so far.
